Marketplace orders: three seller dashboards, one warehouse — and a salesperson reconciling it all by hand every morning

First there was the website. Then Rozetka was added, because that is where the traffic is. Then Prom, because why not. Now every morning someone opens three seller dashboards, copies the orders into one file and hopes that the product sold on a marketplace last night is still in the warehouse. The most expensive part here is not the time spent but the cancellations: the customer has already paid, but the item is gone because it was sold through another dashboard twenty minutes ago.

What's included

Complete list of work and what you get as a result

  • orders from all channels in one list, tagged with where each came from
  • shared stock: a sale in one channel reduces the available quantity in all the others
  • a pricing rule by channel — the same everywhere or channel-specific with the commission taken into account
  • statuses sent back to the marketplace dashboard so the customer can see the order's progress
  • waybills and tracking numbers passed to wherever the marketplace expects them
  • clear behavior when a marketplace is unavailable: orders are not lost but wait
  • a per-channel sales report that accounts for commissions, not just turnover
  • a rule for products you deliberately keep off marketplaces
When this service isn't right

What's not included — so there are no surprises at delivery

  • negotiating terms, commissions and rates with marketplaces
  • passing moderation and meeting marketplace requirements for product listings
  • data sync where a marketplace offers no usable API — we will tell you this right away
  • promises of sales growth on marketplaces
  • work with reviews and the seller rating
Who it's for

Situations where this service delivers results

Scenario 1 of 4

A store that has moved onto marketplaces

The website remains the main channel, but half the orders come from marketplaces. The workflow has not changed and depends on one person's attentiveness.

We'll review your situation in a free audit
Free audit

Free review of the channels

We look at what is technically possible with your marketplaces: half the questions are settled by whether a usable API exists.

What we measure

  1. Which marketplaces, and what they allowEach offers its own set of capabilities, and not all of them allow retrieving orders or sending statuses back. This is the most important limitation.
  2. Where stock data comes fromShared stock is possible only when there is a single reliable source of quantities. If there isn't one, that is where to start.
  3. How many orders come from each channelIf a marketplace brings two orders a week, automation will not pay off, and we will tell you so directly.
  4. Whether prices are the sameA marketplace commission makes the same price yield a different profit. Whether you account for this has to be decided before the work starts.
  5. How orders are processed nowYour current manual workflow is the source of the rules. We describe it rather than inventing our own: it already accounts for your exceptions.
  6. What must not go to marketplacesThere are almost always products sold only on the website: exclusives, supplier agreements, scarce items. This should be a rule, not something someone has to remember.

What you get

  • an answer on what is technically possible with your set of marketplaces
  • an assessment of whether automation will pay off at your volumes
  • an estimate of the work broken down by stage
  • an honest answer if the manual workflow is cheaper for now

Timeline: 3–5 working days

Why is it free

Half the answer comes from the list of marketplaces: some of them simply do not allow what is expected of them. This can be found out in a few days, and we see no point in charging for it.

What's next

You get a list of what is possible and an estimate. Then you decide for yourself — the document stays with you.

What affects the price

Why two seemingly identical tasks are priced differently

  • Number of marketplacesEach one is separate work with its own rules, formats and limitations. Two marketplaces and five differ by more than a factor of two.
  • What the marketplace allowsThe main limitation, and it is not ours. One allows retrieving orders and sending statuses back; another only accepts products.
  • Source of stock dataIf there is stock accounting with reliable quantities, shared stock is built on it. If not, you first need to decide where the truth comes from.
  • Different prices by channelOne price everywhere is simple. Channel-specific prices that account for commission are rules that someone has to maintain with every change.
  • Status syncRetrieving an order is easier than sending back the status and the waybill. But without the latter, the customer on the marketplace is left without information.
  • State of existing integrationsIf product uploads are already set up and work reliably, we build on them. If they have been rewritten several times, we start with a review.

an online store of an official seller of garden equipment and spare parts

Task
Sell Husqvarna equipment and spare parts: chainsaws, lawn mowers, trimmers, accessories. The requirements: a catalog with deeply nested categories, filters by power and engine type, model comparison, up-to-date stock and prices from the accounting system, payment and delivery services.
Solution
A store on OpenCart 3.x (revolution theme, HTTP/2) with a spare-parts catalog up to 4 levels deep. 8 payment methods are connected — LiqPay, monobank installments (3 payments), payment by IBAN, bank transfer with VAT, payment on receipt, Visa, Mastercard, PrivatBank — and 4 delivery options: Nova Poshta, Meest Express, Rozetka Delivery, pickup. Analytics: Google Tag Manager and Google Analytics (gtag), the Rozetka marketplace, a Google Reviews module. Organization, Store, Place, GeoCoordinates and WebSite/SearchAction markup; two language versions, uk/ru, with x-default; robots.txt explicitly declares the sitemap URL.
Result
As of 31 July 2026 the store is up (HTTP 200, HTTPS); catalog: 55,321 product pages in the sitemap (18 sub-sitemaps of 3,000 URLs + 1,321 in the 19th) and 3,868 categories — 59,189 URLs in total; at this volume the server's first response takes 840 ms and the full HTML load 997 ms; 6 JSON-LD types, including Store + Place + GeoCoordinates (local SEO) and WebSite/SearchAction (sitelinks search box); 8 payment methods and 4 delivery options.

Process steps

Transparent stages with approval at every step

Total duration:15–45 days

  1. Reviewing what is possible

    3–5 working days

We check what each of your marketplaces actually allows. Some of the wishes get filtered out here — not because we can't deliver them, but because of the marketplaces' own limitations.

  2. Source of truth

    2–5 working days

We decide where reliable stock and prices come from. Without a single source, shared stock is impossible, and without shared stock the whole idea loses its point.

  3. Orders in one place

    5–15 working days

We pull orders from the marketplaces into a shared list tagged by channel. At this step the manual morning reconciliation already disappears.

  4. Shared stock

    5–15 working days

We make a sale in one channel reduce the available quantity in all of them. This is the main part of the work and its biggest benefit.

  5. Statuses sent back

    3–8 working days

We send statuses and tracking numbers back to the marketplace dashboards. We go through the cases where a marketplace is unavailable or responds with an error.

  6. Report and handover

    2–4 working days

We build a per-channel report that accounts for commissions and show you how to change the rules. Then the 30-day warranty applies from the date the acceptance act is signed.

A shared manager or separate dashboards

How this option differs from the alternative

Each marketplace is handled in its own dashboardOur approach
Selling the last unitsold twice, one order gets canceleddisappears from all channels at once
Morning reconciliationdaily, by hand, with errorsnot needed
Profit by channelturnover is visible, profit is calculated once a quartervisible, with commissions accounted for
Complexitynothing needs to be donedepends on what the marketplace allows
When separate dashboards are finea workable option while there is one marketplace and low volumeoverkill at a few orders a week
What we need from you

We can't start without this — best to prepare in advance

  1. which marketplaces you sell on and how many orders come from each
  2. where reliable stock data comes from: stock accounting, the website or a spreadsheet
  3. whether prices on the website and on marketplaces are the same
  4. which products you deliberately keep off marketplaces
  5. who processes orders and in which system this should happen
  6. who on your side accepts the work
If something is missing — let us know, we'll help you gather it or do it as a separate task.
FAQ

Most frequently asked questions — with concrete answers

Can stock be shared across all marketplaces?

It depends on the marketplace, and this is the main limitation of the whole task. Some allow frequent quantity updates and order retrieval; others only accept product uploads. We check this first and tell you honestly what will work with your set and what will not.

How quickly is stock updated?

Nobody gets it instantly: marketplaces limit how often their APIs can be called. Realistically, it takes from minutes to half an hour depending on the platform. This means a very scarce product can still be sold twice, and a rule for that case needs to be thought through.

We have no stock accounting system; stock is kept in a spreadsheet. Will this work?

Shared stock requires a single source of truth for quantities. A spreadsheet can be one if a single person maintains it by rules, but that is fragile. It is more honest to say it right away: this is where the task most often starts, not with the marketplaces themselves.

Should marketplace prices be the same as on the website?

That is your decision. A marketplace commission makes the same price yield a different profit, so many sellers set a higher price there. We implement any rule, but it has to be written down: otherwise prices drift apart on their own and nobody remembers why.

What happens if a marketplace does not respond?

This is a normal situation, and the behavior has to be planned for. Orders that were not retrieved in time are not lost but wait; the stock update is retried later. The worst case is when the sync silently stops and nobody notices for several days, so we also set up notifications.

Will this increase sales on marketplaces?

No, and we will not promise that. The number of sales depends on the price, your rating and the marketplace itself. What disappears is something else: cancellations due to out-of-stock items, the manual reconciliation every morning, and not knowing how profitable a channel is.

How long does it take?

17 to 47 working days. Pulling orders into one place takes weeks. The timeline is driven by shared stock: it affects both stock accounting and all channels at once, and that is where most of the edge cases are. Each additional marketplace adds its own time.

What if we want to sell only part of the catalog on a marketplace?

Almost everyone does this, and it should be a rule in the system, not something the manager has to remember. Exclusives, supplier agreements, scarce items — all of this goes into a separate list that you change yourself without our involvement.

There is no price list on the site on purpose: the same work differs several times over between two clients, and a “from” figure explains nothing in that case. First a free audit — we count your pages, duplicates and speed — then we name the sum and the deadline and fix both in the contract.
